Job Summary & Responsibilities

This position will be responsible for payroll processing for all U.S. employees. This position reports to the Sr. Shared Services Accounting Manager.  Duties include but not limited to collecting and process employee timesheets and PTO time, prepare semi-monthly payroll runs and occasional out-of-process payroll and bonus checks, general ledger reconciliations, extensive records maintenance, and a certain volume of staff questions and requests.

  • Prepare semi-monthly US payroll, which includes review of employee timesheets, collect and review supporting evidence for all employee changes and process payroll checks/vouchers via ADP, a payroll service provider
  • Process annual bonus and other special payroll runs when needed
  • Prepare journal entries related to all payroll activities
  • Submit 401K contributions accurately and timely
  • Reconcile assigned GL accounts monthly
  • Prepare termination checks as needed
  • Review annual and quarterly federal, state, and local payroll tax reports prepared by ADP to ensure accuracy and timeliness
  • Keep abreast of latest payroll related regulations issues by federal, state, or local governments; inform management and propose procedure and policy changes when necessary
  • Work with ADP to address all payroll related government notices
  • Work with ADP to set up new deduction / earning codes, states and local jurisdictions, or other accumulators when needed
  • Maintain and update ADP database for all payroll related items, and prepare payroll related reports when needed
  • Support annual workers’ comp and 401K audit
  • Ensure Sarbanes Oxley (SOX) compliance in all transactions and procedures
  • Ad hoc tasks and projects as assigned by manager (currently helping with Concur Support and administrative task for AMEX card management)

Role Requirements

  • Minimum of five years of experience in finance/accounting
  • Minimum of three-year processing payroll
  • Bachelor’s Degree in Accounting or related field preferred

Skills and Knowledge

  • ADP WORKFORCE working knowledge a must
  • APA strongly preferred
  • Background in health-related products preferred
  • General accounting knowledge a must
  • Ability to work with sensitive and confidential information
  • Proven ability and desire to work effectively, delivering accurate results under tight deadlines, in a fast-paced, entrepreneurial, dynamic environment
  • Good familiarity with appropriate internal controls
  • Experience with QAD accounting software is a plus
  • Excellent verbal, written communication, and presentation skills. Ability to communicate to all levels confidently and effectively within the Company
