    Overview

    This position is a hybrid position to include executive administrative support and sales event planning. Individual will rely on excellent organizational skills and the ability to effectively handle multiple priorities. Duties will include coordinating meetings, coordinating travel arrangements, preparing presentation materials, submitting expenses and/or review incoming correspondence and prepare responses.  Additionally, the EA will exercise independent judgment, escalating serious or unique problems to higher levels. The EA may provide direction and guidance to less experienced team members.

    In addition, this position will be accountable for the entire event life cycle from start to finish including planning and tactical execution of all aspects of event planning for a wide range of domestic and international sales related events and training meetings. This will include collaboration with Marketing from concept, to sending invitations, reserving transportation (air, land transportation, etc.), booking accommodations and planning menus and agendas in order to deliver best in class events.

    Role Requirements

    • Support the VP of Sales and National Sales Directors administratively which includes, but is not limited to: coordinating meetings, coordinating travel, preparing expense reports, organizing events, attending meetings on behalf of or with the Sales Executives, managing scheduling conflicts, optimizing time management, being able to anticipate and proactively address situations, and other support as needed.
    • Collaborate with marketing to help plan and organize company attendance at sales customer meetings, tradeshows and other sales related meetings.
    • Work closely with vendors to negotiate event contracts and booking event space. Arrange food and beverage, order supplies and audiovisual equipment, order event signs, and ensure appropriate décor (florals, linens, color schemes, etc.) to meet quality expectations.
    • Supervise all components & details requested by clients for successful meetings/events: travel, ground transfers, hotel guest rooms/meeting rooms, food & beverage, A/V requirements, etc.
    • Make reservation for all air flights for guests to include VIPs and internal attendees, pertaining to sales specific events.
    • Conduct research, make site visits, and find resources to help staff make decisions about sales event possibilities. For major events, work with Marketing to help execute sales/marketing events.
    • Propose new ideas to improve the event planning and implementation process.
    • Assist with Global Sales Meeting and Regional Meetings.
    • Processing contracts and POs for Sales meetings and events.
    • Managing and distributing incentives.
    • Collaborate with HR on all hospital credentialing.
    • Other duties as assigned.

    Skills and Knowledge

    • Previous positions in both Office Management and Event planning
    • 5+ years in administrative role
    • Minimum AA degree (2 year), but BS or BA degree preferred
    • Excellent Microsoft Office Suite skills – required
    • Knowledge and experience with additional software systems (such as expense reporting, travel, or purchase order software) - required
    • Experience in planning and coordinate events preferred
    • Ability to manage complex projects preferred
    • Excellent written and oral communication skills
